VENUES, ARENAS & STADIUMS

How do premier venues flip from corporate conferences to night concerts effortlessly?

Calisto Pro unifies calendar bookings, floor layouts, concession stock, staffing, and facility readiness, ensuring your space is constantly operational and event-ready.

Independent Venues · Multi-Space Buildings · Venue Groups · Hotel & Resort Event Teams · Civic & University Venues

Calisto Pro

One operating system for venue operations

Everything an event coordinator, a facility engineer, a concessionaire, and a promoter touches, running off one record. A private event space and a major arena are held to the same standard.

Inquiry, Proposals & Payments

The 11pm Instagram DM, the 9am phone call and the promoter holding six dates in the same queue, live pricing in the proposal, and every line arriving on the ledger while the event is still running.

Learn more →

Calendar, Inventory & Ticketed Events

Every room, hall and bowl on one calendar that knows a space cannot be in two events at once, one count behind the bar and the AV cage, and tickets sold with no platform fee standing between you and your own door.

Learn more →

Event Orders, Production & Staffing

The event order the kitchen, floor, desk and accounting all read, the AV and the production rider tested with a photograph proving it, and rosters built from the headcount across every department that works the show.

Learn more →

Website, Portal & Concession Terminals

Live availability and live pricing on your own site, a portal where clients, promoters and producers see everything without phoning, and every concession terminal in the building settling to the same event record.

Learn more →

Feedback, Reviews, Rebooking & Loyalty

Day three feedback, week two photos, month ten rebook, season subscriptions renewing on their own, with the tier upgrading itself on the third event.

Learn more →

Documents, Forms & Files

Contracts, floor plans, production riders, insurance certificates and dietary forms filed against the event they belong to.

Multi-Venue Governance

Every Venue Layout

One platform for every space operator

The format changes. The login does not.

  1. Ceremony, reception and rehearsal dinner hold across rooms on one calendar, with maintenance blackouts visible on it. A tentative date releases on a countdown instead of blocking a paying one until somebody remembers to chase it.

  2. The rental agreement is signed on the screen the client is already on, and the deposit schedule, the installment dates and the cancellation terms enforce against it. The event order opens from that signature rather than from a follow-up email.

  3. Vendor insurance certificates, permits and floor plans are stored once, and every expiry validates against the event date rather than the day it was filed. A COI that lapses the week before flags the week before.

Calisto Workforce · VENUE LABOR CYCLE

The roster reads the event order.

Five stages on one database, so the schedule that staffs Saturday and the settlement that prices it are never two tools.

ADD YOUR TEAM

Three ways to add your team to Calisto Pro

Three options adapt to every subscriber.

Agenda

Add anyone to your system for tasks and scheduling

Add any Calisto user to your system to assign tasks or scheduling. This allows the user to be included in tasks and scheduling through Agenda. Because the user only sees the assigned task or shift, this is a great option for shift employees, third-party contractors, and volunteers.

Station

Decide what every employee sees of your system

Give each employee access to just what they need so they can do their job with ease with Station. Start with a pre-made template or customize each portal as your needs change. Station works best for companies that use Workforce.

Full access

Admins who see everything

Add additional users as needed for full access to every app, every screen, and every record. Available at no additional cost for subscribers of Calisto Commerce and Calisto Ops.

Your team, your portals, and your admin access are all managed in Purview.

The Seating Chart

Every configuration your room can hold.

Theatre on Friday, gala on Saturday. Build curved rows, auto-generate aisles, mark accessible seats, and save custom layouts for any booking.

Calisto Interact · Calisto Commerce

Inquiry, Proposals & Payments

Every inquiry channel feeding one sales pipeline, proposals with live catalog pricing that convert to contracts in one click, and deposits through 75 gateways settling to one ledger.

The 9pm WhatsApp Enters the Pipeline

A WhatsApp message arrives at 9pm asking about a December corporate dinner. The inquiry creates a pipeline lead with source channel and timestamp. Instagram DM at 11pm about a wedding. Web form on Sunday. Every message creates or matches a contact record and enters the pipeline: inquiry, qualification, proposal, contract, deposit. A deal does not advance until the previous stage completes. Three coordinators see the same thread. No forwarding. No "did you respond to the Martínez inquiry?"

At arena scale

The promoter holds six dates. The settlement is already computed.

No more chasing promoters for expiring holds or manually calculating event split deals. Calendar holds auto-release, complex deal structures price instantly, and settlements calculate live while the show is running.

Six Dates on One Hold

Bookings

A promoter routing a tour holds six dates while the routing firms up. Each hold carries its own expiry against the contract, so the four that never confirm release themselves back to the calendar and the enquiries behind them are notified. Nobody chases a promoter for a date they already gave up.

Four-Wall, Guarantee, or Co-Promote

Proposals

The proposal carries the deal structure, not just a room rate. A flat four-wall rental, a guarantee against a door split, or a co-promote with a revenue share all price from the same catalog, and the accepted quote generates the contract without the terms being retyped.

Settlement From Data That Already Exists

Ledger

Ticket revenue, concession sales through Station, merchandise, facility fees, and production costs all post to one event folio while the show is running. Settlement is a read, not a reconstruction, so the promoter settles in the office after load-out rather than by email the following week.

Calendar, Inventory & Ticketed Events

Multi-space conflict detection with hold expiry and dependency chains, a unified inventory for consumables and physical assets, and ticketed events from a 180-seat dinner to a 30,000-seat bowl sold on your own rails.

The Rooftop at Four. The Boardroom at Noon.

A wedding holds the rooftop from 4pm to midnight. A corporate lunch occupies the boardroom until 3pm. Maintenance blocks the terrace until 2pm. All three appear on one calendar. Shared-area conflicts over the kitchen, the parking and the loading dock flag automatically. Direct inquiries, planner bookings, and recurring corporate events enter through different doors and land on the same calendar. Holds expire. Blackout dates enforce. Double bookings do not happen.

The Ceremony Runs Long. The Room Behind It Knows.

Spaces hold dependencies, not just times. A ceremony in the garden that runs forty minutes late pushes the dinner in the ballroom, and the turnaround crew scheduled between them moves with it. Nobody radios the kitchen to ask.

A Hold That Expires on Its Own

Enquiries take provisional holds with their own expiry. A pencil mark does not expire; this does. When the deposit does not arrive by the date on the contract, the space releases itself back to the calendar and the next enquiry in the pipeline is notified automatically.

One Inventory for Food and Furniture

A wedding confirms for 180 guests. The ingredient quantities for the catering menu recalculate against recipes. The hold on round tables increases from fifteen to eighteen. The linen count adjusts. The bar stock pull reflects the updated guest count from the event order. One inventory system for consumables and physical assets. The chef does not manually translate the event order into a purchase order. The setup crew does not count chairs from a printout.

Galas, Concerts, Open Houses. Zero Fees.

A gala needs 500 tickets. The platform fee: zero. No per-ticket charge. No percentage on the sale. The floor plan builder places rounds, longs, and head tables snapped to room dimensions. Guests drag from the RSVP list onto seats with dietary tags visible. The guest count changes at 11pm, and the seating chart adjusts, the meal counts recalculate and flow to the kitchen, and the invoice updates.

Ticketing Off for the Producer. On When You Self-Produce.

When the venue rents to an outside producer, ticketing stays off. When the venue self-produces, it activates. The building layer stays the same either way. Your gala. Your list. Zero platform fees.

Tickets · Seating

Thirty Thousand Seats. Priced by Section.

The same seat map builder that places rounds and head tables in a ballroom lays out a bowl. Four section types: general admission, reserved, VIP, and table. Each section carries its own price tier and its own presale window, so the club level opens to subscribers on Monday, the lower bowl to the fan club on Wednesday, and the upper deck to the public on Friday. Season-ticket-holder seats hold through Registry and never enter the public inventory at all. The count of tickets does not change what any of this costs: zero, at five hundred and at fifty thousand.

Three Halls. Three Load-Ins. One Dock.

A convention center runs three exhibitions at once in three halls, and the thing that actually collides is not the halls. It is the loading dock, the freight lift, the kitchen, and the parking structure. Shared-area conflicts flag across concurrent events the same way a rooftop and a ballroom flag against a single kitchen. Dependency chains carry a hall that runs long into the turnover crew scheduled behind it, so a delayed teardown moves the next load-in rather than colliding with it.

Calisto Ops

The calendar reserved the date. Now the event comes alive.

Floor plans, seating, ticket sales, and day-of check-in activate on top of the booking. The calendar, the tickets, the governance. No invoice.

Calisto Ops · Calisto Work

One unified BEO powering kitchen, production, and staffing, from intimate events to full-scale match days.

One BEO read by kitchen, floor, desk, and accounting, day-of production with photo-verified checklists and segregation of duties, and rosters built from the headcount with certification gating, from twelve servers at a wedding to two hundred staff across eight departments on a match day.

Guest Count Changes. Everything Recalculates.

The menu builds from a master catalog with allergen tags, course timing, and per-guest pricing. The client selects plated or buffet. The equipment list adds chafing dishes, linen counts, and table settings. Everything lives on one document. The guest count changes from 150 to 180: the menu cost recalculates, the rental quantities adjust, the labor estimate increases, and the event order and the invoice stay in sync without anyone touching either one.

Kitchen, Floor, Front Desk and Accounting, One Source

The event order is the kitchen's recipe sheet. It is the floor team's plating guide. It is the front desk's seating reference. It is the accounting team's invoice basis. One source of truth, four teams reading from it. Approved vendors get scoped access to their slice. Internal crews see the same timeline filtered to their tasks. A change to the timeline propagates in real time. No email update. No printed revision.

Calisto Nexus

Website, Portal & Concession Terminals

Website, portal, POS, and lobby display all read the same catalog and the same event record.

Live Availability. Live Pricing. One Site.
At building scale

One bar tab becomes forty terminals. Same record.

Eliminate fragmented point-of-sale systems. Deploy menus fleet-wide, automate end-of-night settlement, and connect signage to one live source of truth.

Design the Station Once. Publish to the Fleet.

Station

The terminal is laid out, not bought off a shelf. You set the layout, scope it to its own catalog, and publish it to the devices. The north concourse beer stand, the club-level kitchen, and the merch table run different menus from the same price truth, and changing a price changes it everywhere at once rather than at forty terminals in turn.

Forty Terminals, One Settlement

Ledger

Every terminal settles to the event record. There is no end-of-night reconciliation between forty registers and an accounting system, because the register and the accounting system are the same database. Concession revenue sits next to the ticket revenue for the same event, live, while the event is still running.

Feedback, Reviews, Rebooking & Loyalty

Post-event sequences triggered by fulfillment status, satisfaction-gated review routing, and loyalty tiers that upgrade on the third booking with referral attribution across the portfolio.

Day Three. Week Two. Month Ten.

The Saturday wedding wraps. The event status moves to "reconciled" in the fulfillment pipeline. Three days later, a feedback request sends. Two weeks later, a "share your photos" prompt sends. Ten months later, a rebooking reminder triggers for the couple's anniversary. The coordinator did not schedule any of these. The alternative: a WhatsApp message saying "thank you for choosing us" and hoping someone remembers to reach out ten months later.

Five Stars Go to Google. Three Stars Stay With You.

A client rates the event four stars or higher and a Google Review prompt sends automatically. A client rates below four and a private survey sends instead. The negative feedback is captured, addressed, and never published. The positive feedback builds the venue's online review score. The venue's reputation improves at the process level, by routing feedback on the satisfaction score rather than by hoping someone leaves a good review.

Third Event This Year. Tier Upgrades Itself.

A company books its third event of the year. The loyalty tier upgrades. Priority booking access activates. Annual event credits accrue. The tier change propagates to email segments and advertising audiences automatically. No manual list management. No "remember to add them to the VIP list." Referral tracking attributes the new wedding inquiry to the corporate client who recommended the venue, and the loyalty program covers annual credits, priority booking, and referral attribution across all three venues in the portfolio. The alternative: the manager remembers, or does not, which corporate clients book annually. There is no systematic tracking.

Segments From the Event Database

Corporate clients who booked three events in twelve months get different messaging than a one-time wedding client. Holiday party promotions target companies that booked corporate events last December. Segments build from event type, recency, and spend level. Not from purchased lists.

The Season Renews Before Anyone Builds a List

A subscriber base is the same loyalty machine with a longer cycle. Registry holds the subscription tiers, the renewal dates, the family plans, and the corporate boxes, and a subscriber's seats hold across the season without entering public inventory. The renewal notice sends on the cycle rather than on the spring a coordinator remembers to rebuild the list. Lapsed subscribers segment on their own, so the win-back campaign targets the people who actually left rather than the whole file.

Group Sales and the Corporate Box

A company that took a suite for eight events, a school that bought four hundred seats for a matinee, and a tour operator that blocks the same weekend every year are all recurring revenue that most buildings track in somebody's spreadsheet. They sit on the account record with their history, their tier, their credits, and their renewal window, and they resurface as a lead before the date comes round rather than after it has gone.

The Recap Becomes the Next Proposal

Event recap photos, room renders, and venue marketing materials compose in Studio against the event they came from, so the gallery a prospective client sees is the wedding that actually happened in that room. The recap that goes out on day fourteen and the images in next season's proposal come from the same library rather than from two folders that drift apart.

Documents, Forms & Files

Merge-field documents from the deal record, vendor-uploaded certificates with expiry checks, technical riders that become pre-show checklists, and guest dietary forms that flow to the kitchen sheet.

Merge Fields From the Deal

An event order document generates with the client name, guest count, event date, and menu selections pulled from the deal record. No manual typing. No copy-paste from a previous template. No risk of last quarter's pricing appearing in this quarter's document.

Vendor Certificates Check Against Event Date

A caterer or florist uploads a certificate of insurance and the expiration date checks against the event date, so a lapse surfaces while there is still time to chase it. Suppliers get their own link and return their own documents.

The Production Rider Becomes a Checklist

A technical rider is a document until somebody has to prove it was honoured. Signed in Sign, it files against the event and its line items become the pre-show checklist the production crew photographs. The tour manager's question at load-in is answered by the record rather than by three people remembering the same conversation differently.

Blueprint

Multi-Venue Governance

Cancellation policies that deploy locked to every venue, BEO templates with version tracking, and annual membership programs that deplete across properties.

At portfolio scale

Three halls or thirty buildings. The standard travels either way.

Eliminate fragmented portfolio management. Roll up live financials, share staff across venues, and sync contract templates without a single consolidation spreadsheet.

League and Municipal Standards, Held by Inspection

Assure

A league safety standard, a municipal fire code, or a university facilities policy deploys from HQ as an Assure checklist rather than as a memo. Photo verification and segregation of duties mean the person who set it up cannot be the person who signs it off, and a finding stays open until it is remediated. Compliance becomes a query, not an archaeology project.

Per-Building P&L, One Portfolio View

Ledger

Every hall, arena, and outdoor space carries its own profit and loss with shared utility allocation, and the portfolio rolls up without a consolidation spreadsheet. For publicly owned buildings, municipal fund tracking, grant allocation, and capital improvement budgets sit in the same ledger as the rental revenue.

Your Database Where the Charter Requires It

Municipal and university venues frequently cannot put operational data on a vendor's cloud. The platform deploys on your own database with the same feature set, which is the difference between a procurement conversation that ends and one that starts.

Workforce

A bartender certified at one venue is certified at all of them. Shifts, certifications, timesheets, and payroll read one member record scoped to the account, so a person who works three buildings is one person rather than three files that disagree about their licence expiry.

Today's events, tomorrow's prep, this month's pipeline

Confirmed bookings against room availability, crew assignments against the event order, and settlement status against the signed contract. One screen.

Today's Events & Turnovers

Every event across every venue: setup status, guest count, timeline, and staffing measured against the venue ratio. Overdue prep and below-ratio shifts flagged in red with one-click dispatch to the assigned crew.

Lead Pipeline & Event Orders

Open inquiries, pending proposals, contracts awaiting signature, and deposits not yet received. Each signature carries its event order into fulfillment. Response time tracked per lead.

Turnover Schedule

Room-by-room turnover: which crew is assigned, estimated completion, and next event load-in time.

COI & Contract Vault

Rental agreements awaiting signature, vendor COIs expiring before the event date, and deposit waivers not yet returned.

Revenue & Settlements

Revenue collected this month, outstanding deposits, event costs, and actual-vs-estimated settlement per event. Period-over-period delta.

Why Clients Love Calisto Pro

What venue operators find when one change reaches everything

What changes when the proposal, the event order, the roster, the terminals and the folio are the same record, and the client only has to say it once.

guest count change, and the event order, the invoice, the prep list, the staffing schedule, and the floor plan all reflect it before anyone picks up a phone. That is one database, not an integration.

Bookings

Rooms, spaces and set-up time held together, so a date on hold accounts for the build and the strike rather than only the event itself.

Deals

Every enquiry in one pipeline with a value, a next step and a date, so the wedding that went quiet in February is a follow-up rather than a lost lead.

Proposals

The proposal becomes the event order rather than being retyped into one, so what the client signed and what the kitchen and crew read are the same document.

Sign

Rental agreements, technical riders, and vendor insurance requirements signed digitally. The signed document becomes the event order.

Tickets

Ticketed events on the same calendar as private hire, with seat maps and allocations held against the room they belong to.

Workforce

Production and service staffing scheduled off the event order, so the crew call reflects the final guest count rather than the one from three weeks ago.

Dispatch

Turnover crews, setup teams and maintenance contractors dispatched against the event calendar. The building is always being prepared for the next thing.

Station

Concession and bar terminals on the same catalog and the same books, so per-head spend on a night is a number rather than a reconciliation.

Honest answers

What you're probably wondering

The facility side comes first: inspections, climate and sensor monitoring, maintenance crew dispatch, badge and lock access, venue finance, and room scheduling. Event production tools (Tickets, Station, Pulse) activate only when a venue chooses to self-produce. Most venues rent the space to outside planners and promoters and never touch the production layer.

Yes. A venue that rents space to outside producers or promoters uses Assure for inspections, Signal for climate and sensors, Dispatch for housekeeping and repairs, Access for vendor and crew credentials, Bookings for room availability, Sign for rental contracts and technical riders, Depot for COIs and permits, and Ledger for rent, four-wall settlement, and deposit accounting. Tickets, Station, and Pulse stay dormant unless activated.

Couples, planners, and corporate producers renting the space get their own portal. They see room availability, submit RFPs, review contracts, upload insurance certificates, and track event details. The venue controls what each external user can view and modify.

Certificates of insurance, building permits, certificates of occupancy, vendor COIs, and floor plans. Insurance renewal dates track themselves, flag on expiry, and trigger remediation workflows when coverage lapses. Vendors uploading COIs through Navigator are auto-matched to their contract in Sign.

Calendar manages availability across every room in the building. Maintenance windows, blackout dates, and setup/teardown buffers are visible alongside event bookings. Housekeeping crews are assigned to the turnover windows between events. Conflicts trigger alerts before double-booking occurs.

RFPs, vendor communications, and coordination threads all land in one inbox. Credentials grants time-limited badge credentials to vendors for specific rooms during their contracted window. Vendor agreements sign natively, their COIs file against the event, and load-in and load-out schedules.

Activate the production layer when you need it. Paid open houses, concerts, and exhibitions run with tiered pricing, seat maps, and QR check-in. Onsite food, bar, and merchandise run across as many terminals as the building has. Pulse manages seasonal pricing and event-tier multipliers. Campaigns and Reputation handle outbound promotion. The facility maintenance layer stays active underneath.

Yes. Tickets is a Core product, billed at 3.7% of each paid ticket, and unpaid events cost nothing at any volume. Seat maps carry four section types (general admission, reserved, VIP, table) with section-level pricing tiers and presale windows scoped per section. Check-in runs on QR and barcode scanning with four result states, and passes issue to Apple Wallet and Google Wallet. There is no per-seat licence, no monthly platform fee, and no ceiling that moves you onto a different plan.

Credentials are time-limited and zone-scoped, issued against the person record: mobile key, wallet pass, PIN, key card, or remote unlock, enforced at smart locks, keypads, card readers, and biometric readers. A rigging crew gets the loading dock and the stage deck from 6am to noon and nothing else, and the credential revokes itself at load-out rather than waiting for someone to collect a badge. Badge printing, accreditation, and exhibitor badge runs sit in the Events concept zone in Tickets, and every scan lands on the same attendance record.

The terminal is something you lay out yourself for in-person service. Design it once, scope it to its own catalog, and publish it to the device fleet, so the north concourse beer stand and the club-level kitchen run different menus from the same price truth. Every terminal settles to the event record, which means bar and concession revenue reconciles against the event folio in Ledger instead of against forty separate end-of-night reports.

Any device type registers: HVAC, smoke and CO, water leak, occupancy, structural load, air quality, cameras, and climate monitors, alongside the locks Access controls. Readings render against threshold lines, breaches open incidents with escalation paths, and the outbound event catalog feeds Automations so a threshold breach can dispatch a crew rather than only raising an alert. GPS fleet tracking with live map and geofences covers the vehicles and the eSIM panel covers the cellular devices.

Inspection checklists run with photo verification and segregation of duties, so the person who sets up cannot sign off on their own work, and remediation workflows track what was found until it is closed. Blueprint pushes standards from HQ to every venue in the portfolio locked at the server rather than discouraged by a warning. Rostering gates on certification expiry, so a lapsed licence removes someone from the shift before the roster publishes. For venues that cannot put their data on someone else's cloud, the platform deploys on your own database.

The rental agreement, the technical rider, and the settlement terms sign in Sign and open a fulfillment order. During the run, ticket revenue, concession sales through Station, merchandise, and facility fees all post to the same event record. Per-space profit and loss and the event folio sit together, so a four-wall rental, a guarantee against a door split, and a co-promote all settle from data that already exists rather than from a spreadsheet assembled the following week.

Three tiers, and the same three at every scale. Venue Start carries 0 additional cost: calendar, inventory, ticketing, and venue configuration at zero cost, forever. Venue Growth adds the full sales engine (event CRM, proposals, contracts, payments, fulfillment) at 2% of revenue processed through Calisto. Venue Pro adds operations (staffing, accounting, inspections, maintenance, sensors) at 3% total. Inquiry capture, marketing automation, and the screens that sell, meaning your website, your kiosks, and your concession terminals, are available as add-ons at each tier. You pay a percentage of what you process, nothing upfront, nothing per-seat, nothing per-event, nothing per-ticket, and no custom quote or implementation fee at any capacity.
