Damaged gear entries convert directly into repair work orders, and an item in maintenance is not in the availability count, so nobody can quote it, reserve it, or load it.

A Damage Entry Becomes a Repair Work Order

The return truck arrives. Every item scans back into the warehouse, and the return inspection runs through Calisto Assure: a guided photo walk-around with the condition compared against the checkout photos. The inspector photographs a torn tent panel, tags the damage, and assigns a repair cost. That entry does three things at once: it posts the charge against the client's signed waiver, it opens a repair task in Dispatch with an assignee and a deadline, and it flips the item to maintenance status in Inventory, which removes it from availability until the work is signed off. The asset's condition record runs from purchase through active rental to retirement, so the unit that failed last month cannot be loaded for this one.

Two Sign-Off Stages Before the Truck Rolls

Crew completion, then qualified inspector approval. Saturday's audit flagged a frayed anchor strap, and the finding tracked to resolution by Wednesday. The electrician's certification expires in 30 days: the alert fires and the booking blocks until the renewal uploads. Nothing leaves the warehouse until the inspector signs off, and a failed inspection creates the repair task automatically. A production manager will forgive a price. They will not forgive a mixer that arrives dead.

The tear is photographed at return, billed to the waiver, and the repair order holds the item until an inspector clears it.

The Generator Reports Its Hours

The backup generator's run hours and fuel level report through sensor monitoring. When run hours cross the maintenance threshold, a service task opens in Dispatch before the next event rather than after it fails at one. Temperature sensors on refrigeration trailers alert when conditions drift outside the safe range. The equipment asks for service before a client discovers it needed some.

Venue Form Feeds the Crew

A venue briefing form goes out before the event and captures the load-in restrictions: a three-metre clearance limit, no outdoor power outlets, a 7am earliest arrival. What rental operators ask first

While they are still on the phone. One availability number per item, and it already accounts for what is out on another event, what is in repair, what is being cleaned, and what you sub-rented in. Stock counting and rental availability are not the same question, and the operator who has to walk the warehouse before answering has already lost the hour that decided the bid.

A live conflict engine. Reserving 60 chairs for Saturday drops the count everywhere immediately, and a second booking for the same day is flagged with alternatives from remaining stock or a sub-rental supplier before it is confirmed. Buffers block the prep, cleaning and teardown windows around each event, so a multi-day load-in cannot be booked over. Equipment reserved at one warehouse never shows as available at another.

The inspector photographs the damage on return, tags it, and assigns a repair cost. That entry becomes a repair work order in Dispatch and flips the unit to maintenance status in Inventory, which removes it from availability until the work is signed off. Sending out broken equipment is the fastest way to lose a production manager's number, so nothing leaves the warehouse without a qualified inspector clearing it first.

Hours, not days. Every line pulls its price from the same rate schedule the catalog shows, templates fill from the booking, and terms adjust per event type because a festival needs different liability language than a wedding. Multi-party signing routes it to the production manager, the venue coordinator and the client at once. The company that quotes in hours gets the gig. The one still going back and forth on Thursday does not.

Damage charges post against that waiver rather than against an argument. The record answers for you, which is the difference between billing the repair and absorbing it.

Fleet utilization heatmaps show revenue per asset, and cost-versus-estimate analysis per booking shows true event profitability after labor, transport and equipment. A chandelier rented 40 weekends a year justifies its replacement cost. A canopy rented six times does not. Those are two different investment decisions, and knowing which is which is how the rate you quote becomes a decision instead of a guess.
