ARTISTS & TALENT

How do global touring acts run complex arena tours like clockwork?

Calisto Pro brings contracts, tour routing, merchandise sales, and royalty splits into one central system, allowing you to focus entirely on the performance.

Artist Managers · Booking Agents · Talent Agencies · Music Labels

Calisto Pro

One operating system for touring talent

Everything a tour manager, a merch rep, a promoter, and a manager touches, running off one record. A regional club run and an arena world tour are held to the same standard.

Every Touring Show

One platform for every touring artist

The format changes. The login does not.

  1. Every artist on your roster is a deal card. Signing status, contract negotiations, and commission per deal on one visual board. The 25 to 30 monthly hours of admin the software should have handled.

  2. Artist agreements, NDAs, work-for-hire, and performance contracts signed natively in Calisto Sign. No separate e-signature seat. No scanned pages over WhatsApp.

  3. Every email, SMS, and WhatsApp thread with promoters, labels, and festival buyers in one inbox. Full history per contact.

  4. 13-factor settlement engine for live shows. Six royalty types for recorded music with ISRC and ISWC tracking. Per-artist statements generate without a formula.

ADD YOUR TEAM

Three ways to add your team to Calisto Pro

Three options adapt to every subscriber.

Agenda

Add anyone to your system for tasks and scheduling

Add any Calisto user to your system to assign tasks or scheduling. This allows the user to be included in tasks and scheduling through Agenda. Because the user only sees the assigned task or shift, this is a great option for shift employees, third-party contractors, and volunteers.

Station

Decide what every employee sees of your system

Give each employee access to just what they need so they can do their job with ease with Station. Start with a pre-made template or customize each portal as your needs change. Station works best for companies that use Workforce.

Full access

Admins who see everything

Add additional users as needed for full access to every app, every screen, and every record. Available at no additional cost for subscribers of Calisto Commerce and Calisto Ops.

Your team, your portals, and your admin access are all managed in Purview.

THREE VIEWS

The roster, the deals, the release.

Three views onto the same artist record. Move the deal and the release calendar already knows.

Run the roster

Every artist is a single record. Their deals, contracts, royalties, communication history, EPK, press mentions, and tour dates live in one place. No more cross-referencing spreadsheets, email folders, and shared drives to answer a simple question about your own roster.

Single artist record: deals, docs, royalties, comms, riders, and dates
Public roster widget and EPK pages with high-res downloads and access analytics
Per-artist revenue tracking, guarantee history, and leaderboard
Per-agent dashboards so every agent opens on their own pipeline and commission
Chain-of-title docs, archived contracts, and recording masters in Box

Run the deals

Signing flow, contract negotiations, and commission tracking per deal. The pipeline runs from scouting through settlement, and every dollar is accounted for before anyone asks where it went.

Visual deal cards from inquiry to executed contract
Proposals that merge financial terms with the artist's technical and hospitality rider
13-factor settlement engine with branded PDF statements
Per-agent commission splits, tiered structures, and overrides
Advance recoupment with automatic status transitions
Native e-signatures for NDAs, label deals, sync licenses, and work-for-hire
Shared hold links for promoters with venue-scoped availability

Run the campaigns when artists release

When your roster drops new music, tours, or announces appearances, the marketing surface activates. Artist EPK pages, fan newsletters, release campaigns, and booking inquiry forms work together without switching to a separate platform.

Release campaigns: single drops, album rollouts, geo-targeted tour pre-sales
Multi-artist social publishing to Instagram, TikTok, and X from one Impreta calendar
Fan newsletters and subscriber lists through Echo
Booking inquiry forms that feed directly into the deal pipeline
Press mention monitoring and review aggregation via Reputation
Branded label or manager portal for fan discovery and membership
The Seating Chart

Every room on the tour, drawn the same way.

A tour plays a different room every night and each one needs its own chart. Draw them once, keep them all, and assign the right one to the date. Copy a section from one design and paste it into another through the system clipboard, so a VIP block you have already laid out does not get rebuilt in every city.

The Connections

Six apps. One roster.

Every show starts as a hold. Holds, contracts, settlements and royalties on one record is what keeps a tour from being reconstructed out of email.

Roster
Deals
Sign
Tickets
Ledger
Sites
Depot

Deals

Holds that travel with the date rather than as a screenshot, promoted to an offer and then to a confirmation without anyone retyping the routing.

Sign

Native e-signature on the deal itself, so the countersigned contract is attached to the show rather than sitting in an inbox nobody else can search.

Tickets

Ticket counts against the show they belong to, so the sell-through the agent is asking about is a number you can read rather than one you have to request.

Ledger

Show settlements and royalty accounting on the same books, so what the artist is owed and what the company kept are the same calculation rather than two.

Sites

An artist site and fan app on your own domain, where the fan record belongs to the roster rather than to whichever platform is currently hosting it.

Depot

Contracts, riders, splits and rights documents filed against the show and the artist, with an end date on a usage right rather than an assumption about one.

CHAIN REACTIONS

Data moves. Humans do not retype it.

A deal closes, a ticket sells, a hoodie runs out. The other products respond without an export, a sync, or a forwarded thread.

Deal to Books

A booking deal closes in Deals. Orderflow populates a fulfillment order with guarantee terms and rider specs. The promoter pays and Payments posts the revenue. After the show, the settlement engine splits 13 factors across payouts, merch, and manager commissions. Ledger records it. No accountant touched it.

Ticket to Campaign

A fan buys a pre-sale ticket. The contact record updates in Circle. The tier changes from regular to Superfan. Campaigns enrolls them in the VIP meet-and-greet sequence and the post-show setlist email.

82%

Merch to Reorder

The last XL hoodie sells at the merch table. Inventory hits zero across every channel. Sites drops it from the artist store on the next refresh. Automations fires a reorder task to the apparel supplier.

Inquiry to Calendar

A promoter sends a WhatsApp message. Inbox routes the thread into the Deals pipeline. A Proposal generates with rider specs attached. Sign routes it for dual signature. On execution, the hold in Bookings converts to a confirmed date.

Why Clients Love Calisto Pro

What a roster notices when the back office disappears

The structural reasons a manager stops paying per artist and starts running the whole roster on one record.

$0

per artist, per month, forever. Sign the fourth act and the fifth and the twentieth without the platform bill moving. Every tool that charges by roster size punishes you for the thing you are trying to do.

PER-ARTIST FEES
13

factors in a show settlement, calculated from the deal memo rather than retyped from it. Guarantee, versus, walkout potential, and every deduction resolve against the contract that was actually signed.

SETTLEMENT MATH
0

data lock-in. Contracts, ISRC royalty statements, contacts, and the tour history leave with you on any plan. Nobody who has watched a management company change platforms treats that as a small thing.

YOUR ROSTER
1

record per artist, holding the deal pipeline, the signed contract, the settlement, the royalty split, and the routing. The 40 emails and 12 calls stop being the system of record.

ONE RECORD
40+

payment gateways, so the promoter, the label, and the brand each pay the way they already pay. Local rails, SEPA, ACH, and cards all resolve to the same statement line, and the advance clears without a wire chase.

GET PAID ANYWHERE

Booking, Ticketing & Merch

First hold to confirmed date with radius clauses checked, zero-fee tickets that create fan records, and one stock count behind the merch table, the webstore, and the tour.

Every Show Starts as a Hold

Dates enter the calendar as first hold, second hold, or confirmed, each with its own expiration window. If no signed contract arrives in time, the date releases automatically. Radius clause detection flags a date inside the 150-mile exclusivity window before the offer goes out, with map visualization and conflict detection across your roster.

Five Hundred Tickets Sold. Zero Platform Fees.

Zero platform fees on ticket sales, with payment processing at gateway rates only. On a 500-ticket show, the cut a ticketing platform would take stays with the artist, promoter, or fan. Every ticket buyer links to the contact spine, as a structured record tied to purchase history, show attendance, and communication preferences. VIP meet-and-greet packages and fan club pre-sales run as their own tiers, and attendees receive mobile-friendly event pages with lineup, set times, and venue map.

Last XL Hoodie Sells. The Website Knows.

Tablet POS at the merch table takes cash, card, and mobile payments, and every sale depletes shared inventory. When the last XL hoodie sells at the table, the website removes it. Each transaction posts to Ledger under the correct tour and date. The hoodie buyer provides an email for the receipt, that email creates or updates a contact record, purchase history attaches to the fan's profile, and the loyalty system evaluates tier upgrade eligibility.

Tickets fund artists, not platforms.

Zero platform fees. Every buyer becomes a record. Sell at the venue; the webstore already knows.

Roster, Deals & Contracts

One artist profile that every system reads, inquiries that arrive structured, and contracts that release the hold when nobody signs.

Artist to contract

Profile. Inquiry. Offer. Contract. Confirmed.

One Profile Feeds Every Proposal and Contract

One artist profile holds bio, photos, press kit, rider, and rate card. Proposals pull from this profile. Contracts read the rider from this profile. Promoters see this profile on the public roster page. No press kit gets rebuilt from scratch for the next request. Every booking, contract, settlement, expense, and royalty ties back to the artist profile automatically, so the portfolio, the media kit, the performance history, and the downloadable EPK are one thing referenced from everywhere.

Deal Workflow

The contract reads the deal, not a template.

From the first booking inquiry through hold management, offer sheets, contract execution, and rider attachment. No export. No re-entry. No forwarded threads.

Financial Suite

Settlements, Accounting & Royalties

Settlements that calculate instead of negotiate, advances that recoup across shows, and every dollar posting to the tour it belongs to.

Every line traces to a transaction

Closed Deals Create Fulfillment Orders

A deal closes. The operations team receives a structured handoff: venue details, load-in schedule, hospitality rider, tech requirements, travel logistics, and merch allocation. No operations manager rebuilds this information from a forwarded contract.

Thirteen Factors. One Settlement.

Gross revenue, ticket sales, merch revenue, guarantee vs. percentage, co-promotion splits, venue fees, production costs, travel, hospitality, tax presets, expense deductions, deposit applications, and advance recoupment. Formal settlement statements with branded PDF export and line-item detail.

Advances Recoup Across Shows Automatically

Four advance types: flat guarantees, draw-against-percentage, tour support, and production advances. Each tracks through a lifecycle: issued, partially recouped, fully recouped. Incremental recoupment applies across multiple shows.

Per-Agent Commission Splits

Configurable rates per agent. Multi-agent splits, tiered structures, and override commissions for senior agents. Commissions calculate after pre-commission expense deductions and flow into settlement statements automatically.

The Artist Sees Every Line. The Manager Defends Nothing.

Branded settlement PDFs with line-item detail. Transparency builds trust and eliminates disputes.

Automated Royalties

A roster stays when the money is right.

Settlements calculate, not negotiate. The advance recouped before anyone asked. The royalty sheet reads live revenue.

Operations Suite

Crew, Ops & Automation

Twenty crew confirmed on their phones, the day assembled before you open your laptop, and two hundred email addresses collected at the door.

Twenty Crew Across Four Departments, Confirmed

Sound, lighting, stage, security, and catering crew assigned to dates and roles, with flight, hotel, and credential tracking attached to each name. A confirmation dashboard shows who accepted, who hasn't responded, and who declined. An operational logbook records load-in delays, equipment failures, and venue changes.

Stage Specs Persist Across Tours and Return Dates

Technical specs and stage plots upload once per venue and persist. Eight stage types. Exhibitor management for six types with status, fees, and booking linkage. Assure runs the pre-show checklists: stage inspection, load-in timing, and hospitality rider delivery signed off on a phone. Per-artist metrics and agency leaderboard.

The Segment Reads What Fans Did, Not What They Opened

Pre-sale goes to Superfans and VIPs. General on-sale goes to everyone else. Each segment references ticket history, merch purchases, and attendance count. When ticketing and email live in separate products, this segmentation is structurally impossible.

One Show Recap Publishes Across Every Performing Artist

Show photos upload to Depot tagged with artist and date, then flow straight to the Impreta composer. One session publishes the recap to Instagram, TikTok, and X for every artist on the bill, and the same assets refresh each artist's public EPK. Nine separate logins replaced by one.

Unified Fan Data

The conversation has a home now.

Segments built from behavior, not inbox activity. When the email tool and ticketing system share a database, segment by shows attended, merch purchased, and tier level. Not by email opens and click rates.

Create and protect

Subscriptions, Content, Documents & Rights

Subscription money landing in the artist's bank on day one, a branded player with no competitor sidebar, and seven licence types with territories and expiry alerts.

Content Monetization

Create at no cost. Monetise on your terms.

Files that know their context. Rights lifecycle from draft to expiry across territories.

Calisto Interact

Inbox and messaging for artist and talent agencies

Every tool your roster needs to answer a promoter or a fan is already built into Calisto Pro, and every one of them opens against the booking, the guarantee and the deposit the conversation is about.

The Reply Template Knows Who You're Writing To

Templates pre-fill with contact data, booking details, and financial terms. A hold confirmation template pulls date, venue, guarantee, and deposit amount from the booking record. Communication history records every message sent and received.

The Call Logs Itself to the Contact Record

A booking negotiation that starts over WhatsApp, moves to email, and concludes on a video call keeps one continuous record on the promoter's contact.

The Correspondence Stays When the Manager Leaves

When the manager leaves the agency the correspondence stays on the contact record, and the agency never loses a conversation thread to a departing employee's phone.

Frequently asked questions

Add as many artists and team members as the roster holds. No per-artist fees and no per-seat fees exist at any tier. A solo manager with three artists and a label with sixty artists pay the same platform rate.

Fourteen products are free with no time limit. Bookings, calendar, ticketing, roster profiles, press kits, artist summaries, and fan contacts cost nothing.

Over 40 payment gateways connect. Local rails in Latin America, SEPA in Europe, ACH and cards in North America. The platform adapts to each market's preferred method.

Multi-currency support and localized payment processing cover cross-border rosters. A manager in Madrid booking shows in Bogota and Berlin handles all three markets from one account.

Each tool holds one piece of the artist and none of them share the record, so the settlement gets retyped from the deal memo and the royalty statement gets retyped from the settlement. Every retype is a place the number can drift, and the artist is the one who finds it. Here they are the same record. Fourteen products carry 0 additional cost, so the comparison can start before anything is paid.

No long-term contracts. Monthly billing. Cancel anytime. Included products stay included permanently.

Full data export in standard formats. Nothing gets held hostage.

Add the whole desk. Agents, accountants, and assistants all work the same records, and there are no per-seat fees rationing who gets an account. Owning a purview is what separates who can change its settings from who works inside it.

Each product works independently. Start with the bookings and calendar your account already includes. Add Commerce when deals require settlements. Add Campaigns when the fan base warrants campaigns. The platform grows with the roster.
