The holds, the show and the gear, in one app.
Run a promoter, a venue or a rental house from one app. Hold dates in line on every room, send offers that know their break-even, run the show from the function sheet and the run of show, settle it on the real box office, and get every piece of gear out and back.

Zero
kits promised with a part missing
Every date held in line. Every offer worked out.
Holds ranked on every room, avails a promoter can request from, inquiries on one pipeline, and an offer that knows its break-even before the act signs it.
Every room’s dates, and the line of clients waiting on each one.
The month, every room
Free, held or booked at a glance, and a warning where two claims share a date.
Holds in line
First hold, second hold, third: each with its place on the room and the date it lapses.
Challenge, promote, confirm
Challenge the holds ahead to confirm by a deadline, move a hold in line, extend it, confirm it or release it.
The date is confirmed and the act has signed. Now the show has to happen.
From the advance to the last cue, on one record.
The function sheet, the advance, the run of show, the building and the gates, all on the event the date was held for.
The document the floor works from, and the work it sets in motion.
One sheet per event
The room and how it is set, the headcount, the menu, the AV and the staffing, sent to the client to sign — signing confirms it.
Setup and changeovers
Venue setup, changeovers between events and cleaning turns, each on the floor’s own board.
Crew and load
Crew assignments, the equipment pull and the load in and out for every event.
The gear goes out. The gear comes back.
Kits counted part by part, sub-hire counted as stock, and every piece scanned out and in.
One availability number. Nothing promised twice.
Products and kits, availability that counts every part and every sub-hire, the pull sheet, the scan out and back, the delivery and the repair.
What you hire out, and the number you can say out loud on the call.
Products and kits
Items, kits, categories, add-ons and dependencies, priced by duration tier with your hire terms.
A kit is whole or it is not
A kit is available only when every part of it is. An optional part never holds it back.
Sub-hire counts
Gear hired in from a partner counts as stock for the dates it covers, once the partner confirms it.
Events does not stand alone. The tickets are sold through Tickets, the inquiry is a Deals lead, the contract goes out through Proposals and Sign, and the gear is a unit in Inventory.
Where Events touches everything else.
1 of these 8 connections are in your plan today. The rest stay visible so you know the instrument is there before you need it.
Tickets
Tickets sells the show and admits its holders at the door; an offer’s break-even reads its ticket scaling, and the settlement its actual sales.
Deals
An inquiry is a Deals lead on Events’ own pipeline, and “Hold a date” puts it in line for a room.
Proposals
A venue hire’s quote, contract and payment schedule go out as a Proposal, and the client’s acceptance confirms the hold.
Sign
An offer goes to the act as a Sign envelope, and their signature accepts it.
Orderflow
Pull sheets, scan out and in, returns and damage are the same out-and-back screens Orderflow renders, over the same hire records.
Dispatch
Delivery and collection runs and a show’s crew calls are worked as Dispatch jobs.
Inventory
Every piece of gear you hire out is a unit in Inventory’s asset register, and its service schedules, work orders and downtime show in Events.
Workforce
The crew on a show are Workforce people on its shifts; Events’ Team area invites them and sets the screens each one opens.
No setup cost. Pay when you start using.

- Each venue’s month, every room: free, held or booked, what holds each date and its place in the line, the events and performers on it, and a warning where two claims share a date.
- Holds in rank order on each room and date, each with its expiry: move in line, challenge the holds ahead, extend, confirm and release.
- Share links a promoter opens to see your dates, view-only or allowed to ask for a hold, switched off whenever you choose, and the hold requests they bring.
- Events’ pipeline from inquiry to booked or lost, the leads list, site visits, deposits, commission and the venue hires’ invoices.
- Each hire carries its event, its money and its payment schedule, and is confirmed when the client accepts the proposal.
- Guarantee, a percentage of the gross, the net or the net of expenses, versus, door deal and withholding, with Tickets’ scaling, the expense budget, co-promoters and the break-even. The act accepts by signing.

- A function sheet per event, from draft to completed, with venue setup, changeovers, crew, the equipment pull, load in and out, cleaning turns and documents.
- Venues and their rooms, halls and stages, space setups, minimum spends, vendors and hotel room blocks, with each venue’s and each setup’s day rate.

- Products, kits, categories, add-ons, duration tiers, rates, hire terms and dependencies.
- Availability rules, kits counted only when every part is free, gear hired in counted as stock, and downtime taken out.

Questions about Calisto Events
Promoters and festivals, venues, and event and production rental houses. A club promoter, a wedding venue, a conference centre and an AV hire company run the same app, and the screens use the words they use: holds, avails, offers, function sheets, pull sheets.
Every hold on a room and date has its place in the line, first hold first. Move a hold up or down, challenge the holds ahead so they confirm by a deadline or lapse, extend a hold, or release it and the line closes up. Confirming a date that another hold is ahead on asks you to confirm over it, so nobody is bumped by accident.
Yes. Share an avails link and the promoter sees your dates, free, held and booked. When you create the link you choose whether it is view-only or can ask for a hold, and you can switch it off at any time. A hold asked for through the link joins the line on its room and date, for you to promote, challenge, confirm or release.
Yes. The offer carries the guarantee, a percentage of the gross, the net or the net of expenses, a versus deal that pays whichever is greater, a door deal and withholding. Bring in the ticket scaling from Tickets, add the expense budget and the co-promoters, and the offer shows the payout and the break-even, in tickets and as a share of capacity. The act accepts by signing it, and settling the show moves the same record onto the actual box office.
Calisto Tickets sells the tickets. The door that admits their holders is the same one in Tickets and at Events’ Gates, so a show scans at the gate it is run from. Events reads the ticket scaling for the offer and the sales for the settlement, and everything else about the show, from the advance and the function sheet to the run of show and accreditation, is run in Events.
Yes. A kit is available only when every part of it is, and an optional part never holds it back. Gear hired in from a partner counts as stock for the dates it covers once the partner confirms it, and a unit in for repair is out of the count for every day it is down.
Yes. A damage waiver is a fixed price or a percentage of the booking it is bought for, charged in that booking’s own currency.
Events is included with a Calisto Ops or Commerce plan. On its own, it is priced per business. The pricing section on this page reads the live catalogue and is the authority.
