Data Import Terms

These Data Import Terms ("these Terms") apply whenever you use Calisto's data import — the "Move your data" workspace, reached from /switch, the marketplace or another Calisto app — to bring your records from another provider into your Calisto account. You accept them once, for your account, before your first import source. They sit alongside the Calisto Subscriber Agreement, the Data Processing Agreement and the Privacy Policy, which continue to apply. If these Terms and the Subscriber Agreement conflict about an import, these Terms govern the import and the Subscriber Agreement governs everything else.

1. What the import is

The import copies records that belong to your business — for example contacts, clients, guests, templates, bookings, properties or sales history — from a provider you use or used (the "Provider") into your Calisto account. It is a one-time, inbound copy for your own use. It does not connect Calisto to the Provider, it does not keep the two in sync, and it does not change or delete anything at the Provider.

2. How it works: your browser, your credentials

The import runs in your own web browser, on your own device and network.

  • Live import. Where a Provider lets you create your own API key or personal access token and accepts requests from a browser, you enter that key in the workspace. Your browser uses it to read your records directly from the Provider. The key is kept only in your browser's memory for that session. It is never sent to Calisto, never stored by Calisto, and never written to your browser's storage. You enter it again for each new session.
  • Export file. For every other Provider, you export your records using the Provider's own export feature and drop the file into the workspace. Your browser reads the file and sends Calisto only the rows you map.

In both cases, Calisto receives only the records you choose to import. Calisto never contacts the Provider on your behalf, never acts as a proxy between you and the Provider, never receives, sees or stores your Provider credentials, and has no account, application or agreement with the Provider for your import.

3. Your confirmations

By importing, you confirm that:

  1. the records are your business's own records, or records you are otherwise entitled to use in your business;
  2. you are entitled, under your contract with the Provider and the Provider's terms, to export those records and to use the credentials you enter for that purpose;
  3. you hold every consent, notice or other lawful basis needed for the personal data in those records to be held and used in Calisto as you intend; and
  4. you will not use the import to obtain data you are not entitled to, or to circumvent a Provider's technical or contractual limits.

4. No scraping, no circumvention — refusals are respected

The import reads a Provider only through the Provider's published interface, with your own credentials, within the Provider's rate limits. It does not scrape web pages, rotate addresses, borrow credentials or work around a block. If a Provider refuses your request after accepting your key (for example, it answers "unauthorised" or "forbidden"), the import stops for that Provider and the workspace records what the Provider answered — the time, the address requested without its query string, the status and the start of the response — so that you have your own record. From there you can use the Provider's export, send the Provider a data-portability request in your own name, or ask Calisto for help. Calisto will not try to reach the data another way.

5. Calisto's role: processor

For the personal data in records you import, you are the controller and Calisto is your processor, under the Data Processing Agreement (GDPR Article 28). Your right to receive your data from the Provider and to move it to another service (GDPR Article 20, and similar rights in other laws) is yours; the import is a tool you use to exercise it. Calisto processes the imported records only to provide your Calisto services, on your instructions, as the Data Processing Agreement describes.

6. Personal data of other people

Imported records often describe other people — your customers, guests, clients, members or signers. You are responsible for that data: for having a lawful basis to hold it, for telling those people what you do with it where the law requires, and for answering their requests. Do not import special categories of personal data, or data about children, unless the law allows it and your Calisto services are configured for it.

7. What is imported and what is kept

  • Records. Each imported record becomes an ordinary record in your Calisto account, owned by your business like any other, and is kept, exported and deleted under the Subscriber Agreement and the Data Processing Agreement. Deleting a source in the workspace does not delete what it imported.
  • Import history. To make each record land once, Calisto keeps a reference for every imported record: the source, the kind of record, the Provider's own identifier for it (or, where there is none, a one-way fingerprint) and what it became in Calisto. Calisto also keeps the progress of each import run, so that you can continue on another day or another device, and any refusal record described in section 4. This history is kept with your account and deleted with it.
  • Files. Export files are read in your browser. The file itself is not uploaded to or kept by Calisto; only the mapped rows are sent.

8. Accuracy and responsibility

Providers' exports and interfaces differ and change. Calisto shows you what will be imported and how columns map before anything is written, and reports the records it could not import. You are responsible for checking imported records before you rely on them. Calisto is not responsible for the content, completeness or accuracy of what a Provider gives you, or for a Provider's decision to limit or refuse access.

9. Changes to these Terms

Calisto may publish a new version of these Terms. When it does, the import asks you to read and accept the new version before you import again. Records already imported are not affected.

10. Governing terms

Everything not covered here — including liability, governing law and how disputes are resolved — is governed by the Calisto Subscriber Agreement.
